01
First notice of loss
After a crash or a storm, the agent takes the date, location, what happened and who was involved, then sends it to your claims process or the carrier's claims line.
02
ID card requests
A client at a traffic stop or the DMV gets the request logged and sent down the self-service or on-call path you set, not into a voicemail box.
03
Saturday car purchase
A client at the dealership has the VIN, lienholder and pickup time captured and sent to the on-call producer, who handles the coverage.
04
Weekend quote requests
Shoppers calling on a Sunday are qualified and booked into Monday's producer calendar while they are still interested.

Insurance problems happen after the office closes
Car accidents happen on Friday nights and holiday weekends. Hail and wind roll through in the evening. Dealerships do much of their business on Saturdays, and the buyer's lender wants proof of insurance before the keys are handed over. Each of those moments ends with a client dialing the agency number printed on their ID card. If the call reaches a greeting that promises a callback on Monday, the client calls the carrier, calls a competitor or decides the agency is not there when it counts.
Agencies try to cover the gap with a rotating on-call cell, a traditional answering service or a carrier's after-hours line. The on-call producer burns out fielding ID card requests at 10pm. The answering service takes a name and number and leaves the substance for morning. The carrier line handles the claim, but nobody at the agency hears about it until the client mentions it weeks later. The relationship belongs to the agency, and the agency is the one that missed the call.
How Harmony.ai handles a night or weekend call to your agency
The agent answers in your agency's name and asks what the caller needs. For a loss, it collects the policyholder, the date, time and location, what happened, the other parties, whether anyone was hurt and a police report number if there is one. It explains what happens next in the wording your claims team approved, then follows your routing: your claims intake, the carrier's claims line, or a page to the on-call person when the loss is urgent.
A client who just bought a car on Saturday afternoon gets a different path. The agent captures the year, make, model and VIN, the lienholder, which vehicle it replaces and when they plan to drive off the lot, then texts or transfers the details to your on-call producer, who confirms coverage. The agent never binds and never tells the caller they are covered. ID card requests, billing questions and new quote calls are logged, routed or booked into the next business day.
Loss details and overnight requests ready in your AMS by morning
Every overnight call becomes a record in your agency management system or CRM with a recording, transcript and summary. Loss calls carry the date, location, description, parties involved, injuries reported and where the claim was routed. New vehicle calls carry the VIN, lienholder, replaced vehicle and the producer who picked it up. Quote calls carry the lines wanted and the booked slot. Harmony.ai works through your systems' APIs, and our team builds the link to your phones and AMS during setup.
Claim acknowledgment and licensing rules after hours
State unfair claims settlement practices laws modeled on the NAIC Unfair Claims Settlement Practices Act require insurers to acknowledge and act reasonably promptly on claim communications. A loss reported at midnight should not sit in a voicemail box until Monday, so the agent records it in full and routes it the way your claims team and carriers specify.
Under state licensing law, only a licensed person may sell, solicit or negotiate a policy. So the agent does not bind coverage, confirm that a new vehicle is covered or answer coverage questions; it collects the details and puts a licensed producer on the call. Your team sets every rule, and the agent keeps a recording of each conversation for review. This is not legal advice.

Frequently asked questions
Yes. It collects the loss details your claims team asks for, reads your approved next-steps wording and routes the report to your claims intake or the carrier's claims line. Urgent losses, such as an injury or a home that is not livable, can page your on-call person right away.
The agent captures the vehicle, VIN, lienholder and pickup time, then gets them to your on-call producer by text or live transfer. The producer makes the coverage decision. The agent never binds a policy or tells the client they are covered.
Yes. Forward your main line after close, or only on weekends, and callers keep dialing the number on their ID card. Call records, transcripts and loss details are written to your AMS or CRM through its API, and we build that integration for your setup.
Yes, as an intake and routing step. State claims rules expect claim communications to be acknowledged and acted on reasonably promptly, and answering the call the same night helps your team do that. Your claims team and carriers set the scripts and routing, and the agent follows them. This is not legal advice.
