Lead reactivation for BPO contact centers

Clients hand over dormant CRM records and old campaign lists at a volume a staffed floor can't absorb without new hires. Harmony.ai calls each list with that client's offer and rules, then routes prospects who re-engage to your human agents.

Old lists are cheap to get and expensive to staff.
Harmony.ai works a client's aged records at volume with that client's offer, so your floor only talks to people who agreed to a conversation.

Aged CRM records

Leads that went quiet after a quote, a demo or an application get a fresh call that reminds them why they reached out and what the client offers now.

Per-client offers

One client is pushing a renewal discount, another a free assessment. Each list is called with its own offer, script and approved answers to the usual objections.

Backlogs without hiring

A client hands over a large backlog with a three-week window. The agent runs thousands of calls at once, so you skip recruiting seats for a short contract.

Clean opt-outs

Every stop request is captured on the call and pushed to the client's suppression list, so the next campaign starts from a list that reflects what people said.

Why dormant lists sit untouched in client CRMs

Every client has them: records from last year's campaigns, quotes that never bound, demos that never closed, applications that stalled at the second step. They ask the BPO to work them because their own team won't. The math is hard for a staffed floor. Contact rates on aged records are low, most dials end in voicemail or a disconnected number, and the conversations that do connect often open with "who is this again?" Putting tenured agents on that list costs seat hours your other programs need, and the client still expects a report by Friday.

The second problem is hygiene. Old lists carry stale consent, numbers that have changed hands and people who asked to stop months ago through a channel nobody synced. A reactivation campaign run without checking each record against the client's consent and suppression data puts both the client and your floor at risk. And because the client owns the customer relationship, every opt-out you collect has to make it back into their system, not just into your dialer.

How Harmony.ai works a client's backlog without adding seats

You load the client's list and the program rules: which records are eligible, the offer, the script, the calling windows and the retry cadence across days or weeks. Harmony.ai dials at whatever concurrency the campaign needs, opens with the reason the prospect is hearing from this brand again and checks what has changed since the last contact. Prospects who want to talk now are warm-transferred to an agent on that program. Those who want a different time get a callback on the calendar, and those who aren't interested are dispositioned and left alone.

Because the agent absorbs the dials that go nowhere, your floor stays sized for the programs that need people on every call. A reactivation burst for one client doesn't pull agents off another client's inbound queue, and you can say yes to a backlog project without a recruiting plan. Each program keeps its own reporting, and automated QA reviews every call, so you can show the client exactly what happened on the records they handed over, including the ones that never connected.

What syncs back to the client's record after every call

Each client program gets its own API integration, built by our team, so results land where that client wants them. On each record in the client's Salesforce, HubSpot, Velocify or other CRM, the agent writes the reactivation outcome, the offer presented, the callback time or transfer details, the updated contact preference, any consent revocation in the prospect's own words, company-specific do-not-call adds and a link to the transcript and recording. The client gets back the same list they gave you, now sorted into people to call, people to drop and people already talking to an agent.

Consent, EBR windows and do-not-call requests on aged lists

Age matters on a reactivation list. An established business relationship for Do Not Call purposes lasts 18 months after a purchase or transaction but only three months after an inquiry or application, and it does not stand in for the written consent that artificial-voice telemarketing requires. Since February 2024 the FCC has treated AI-generated voices as artificial under the TCPA, so AI calls follow the same consent rules. Each client's consent data decides which records are eligible before the first dial.

When someone revokes consent by any reasonable means, including saying so on the call, it has to be honored within a reasonable time not exceeding ten business days. Company-specific do-not-call requests carry the same ten-business-day limit. The agent logs both during the call and syncs them to the client's suppression list. Your compliance team and the client's counsel own the rule set, and the agent enforces it on each call, with the recording kept for audit. This is not legal advice.
