AI collections for BPO contact centers
Every client portfolio brings its own verification steps, cadence limits and disclosures. Harmony.ai runs a fixed, compliance-approved flow per client for reminders, promises to pay and payment links, and hands disputes and hardship to your collectors.

01
Pre-due reminders
Early-stage accounts get a courtesy call before or just after the due date, and the customer can pay through a secure link sent while still on the line.
02
Promises to pay
A customer who can't pay today sets a date and amount on the call. The promise is written to the client's system and the follow-up is scheduled against it.
03
Right-party verification
The agent runs each client's verification steps before anything about the account is said, so a spouse or roommate who answers hears nothing about the debt.
04
Disputes go to collectors
The agent never argues a balance. A dispute or hardship claim is captured word for word, outreach pauses under the client's rules and a collector takes it.

Why third-party collections programs stall on seat time
A BPO or agency running collections for several creditors carries several rulebooks at once. One client wants early-stage reminders on accounts a few days past due, another places charged-off paper for third-party recovery, and each has its own verification steps, settlement authority and approved language. Collectors spend most of a shift on attempts that never reach the right party: voicemail, wrong numbers, family members, and people who hang up the moment they hear the company name. The accounts that need a skilled collector wait in the same queue as the ones that only need a reminder.
Coverage is the other gap. People answer in the evening and on Saturday, when the floor is thinnest, and placements arrive in bulk with a client expecting first contact within days. Staffing a new portfolio means hiring and then weeks of training on that client's script before the first productive call. Meanwhile every attempt on every account counts toward the client's frequency caps, so a missed log entry is more than a reporting gap when the client's auditors arrive.
How Harmony.ai works a collections queue per client portfolio
Each client portfolio is set up as its own program: the right-party verification steps, the required disclosures, the payment options the client allows, the contact windows and the attempt caps. Harmony.ai calls the queue, verifies the person before any mention of a balance and delivers the disclosures in a fixed flow it cannot skip or rephrase. Next comes the reminder, then either a promise to pay logged with a date and amount, or a secure payment link the customer can use before hanging up. It never claims to be human or a licensed professional.
When the conversation needs judgement, the agent steps back. A dispute, a hardship claim, a settlement request outside the client's approved terms or a request to stop calling is captured in the customer's words, outreach on that account pauses according to the client's rules, and the account moves to a collector with the transcript attached. Your collectors spend their time on negotiations and hard cases, and automated QA reviews every call across every portfolio, so a client audit doesn't rest on a handful of sampled recordings.
What the client's collection system receives after each attempt
Some clients run their own collection system and some have you work accounts in yours; either way, Harmony.ai connects to it through its API and we build that link per portfolio. After every attempt the record gets the right-party verification result, the disclosure delivered, the outcome code, the promise-to-pay date and amount, the payment confirmation from the payment provider, any dispute, hardship or cease flag, the attempt count against the cadence cap, and links to the recording and transcript. Each client's reporting covers its own portfolio and nobody else's.
Regulation F, call windows and card data on outsourced accounts
For a BPO collecting as a debt collector covered by the FDCPA, Regulation F presumes compliance with call-frequency limits if it calls a person about a particular debt no more than seven times in seven consecutive days, and not within seven days after a phone conversation about that debt. The initial communication has to disclose that the caller is attempting to collect a debt and that information obtained will be used for that purpose, and later calls must say they come from a debt collector.
Calls before 8am or after 9pm at the consumer's location are treated as inconvenient, and card payments taken over the phone fall under PCI DSS. The agent sends a secure payment link, so the payment runs through the client's own payment stack. Caps, windows and disclosure wording are set per portfolio by your compliance team, then enforced on every attempt, with each call recorded and logged. This is not legal advice.

Frequently asked questions
On every qualifying call, for every client. Each client's disclosure wording sits in a fixed part of the flow that runs on every qualifying call, and the agent cannot skip or paraphrase it. Your compliance team signs off on the wording per portfolio before launch, and the full transcript is logged so you can show a client exactly what was said.
The cap applies per person and per debt, so the agent counts attempts for each account in each client's portfolio separately. Cadence and contact windows are system-level rules your compliance team sets, and every attempt is logged for review.
Disputes, hardship, settlement requests outside approved terms, requests to stop calling and anything the client marks as collector-only. The agent captures what the customer said, pauses outreach according to the client's rules and routes the account to a collector with the transcript and history attached, so nobody starts from zero.
Harmony.ai connects through APIs to the collection system, CRM, payment provider and telephony each program uses, including CCaaS platforms like Genesys Cloud, NICE CXone and Five9. We build the integration per client, so promises to pay, payments and dispositions stay in sync without anyone rekeying them at the end of a shift.
